A centralized manufacturing management solution designed to streamline production, inventory, purchase, quality and operational workflows.
We designed and developed a custom Manufacturing Management Application using Zoho Creator to help a manufacturing business manage its day-to-day operational activities from a centralized platform.
The existing processes involved multiple Excel files, manual entries, emails and communication between different teams. Production, material requirements, purchase activities, quality checks and inventory updates were being managed separately.
Our objective was to bring these processes into one connected application, while keeping the workflows simple enough for production and operational teams to use on a daily basis.
The solution was designed around the client's actual business processes rather than using a fixed application structure.
The manufacturing team was managing different activities across multiple locations and departments.
Some of the common challenges included:
The business needed a solution that could connect these processes and provide a single source of operational information.
We first mapped the existing manufacturing process and identified the information shared between departments.
Instead of developing every module at once, we structured the application around the core manufacturing workflow:
Product → Material → Production → Quality → Inventory
Additional processes such as purchasing, suppliers, equipment and reporting were then connected to the core system.
This approach helped us create an application that could grow with the business
We created a centralized product master to maintain information about manufactured products.
The module manages information such as:
The product master acts as the base for production and inventory processes.
The application includes a Bill of Materials (BOM) structure to define the materials required for manufacturing a product.
For example:
Finished Product
→ Raw Material A
→ Raw Material B
→ Raw Material C
The BOM information is then used as part of the production and material planning process.
This avoids maintaining material requirements separately in spreadsheets.
Production planning was designed to give the team a structured way to create and monitor production requirements.
The production record includes:
The production status can be tracked through stages such as:
Planned → In Progress → Quality Check → Completed
We developed a work order process to help the production team track individual manufacturing activities.
Each work order can contain:
This provides better visibility into what is currently being produced and what is still pending.
Before production starts, the required raw materials need to be available.
We designed the application to connect production requirements with material availability.
The process works around:
Production Requirement
↓
Material Requirement
↓
Stock Availability
↓
Material Issue / Purchase Requirement
This helps the team identify material requirements before production begins.
Inventory was one of the important areas of the application.
The system manages:
Instead of manually updating multiple Excel sheets, inventory transactions are recorded within the application.
We also developed a purchase process for materials that are not available in stock.
The workflow was designed around:
Material Requirement
→ Purchase Request
→ Approval
→ Purchase Order
→ Material Received
→ Inventory Updated
This connects procurement activities with production requirements.
A centralized supplier module was created to maintain supplier information.
The module includes:
This allows procurement users to access supplier information from one place.
Quality control was integrated into the production workflow.
Once production is completed, the relevant quantity can be sent for inspection.
The quality team can record:
The process follows:
Production Completed
↓
Quality Inspection
↓
Pass / Fail
↓
Inventory Update
This creates a better connection between production and quality records.
We included functionality to record rejected quantities and defects identified during quality inspection.
The application can capture:
This allows the team to maintain a history of quality issues rather than recording them separately.
Manufacturing operations often depend on production equipment.
We included an equipment management area to maintain:
This gives the team a centralized record of manufacturing equipment.
Maintenance activities can also be recorded within the application.
The process supports:
Maintenance Due
↓
Maintenance Request
↓
Technician Assigned
↓
Maintenance Completed
↓
Next Maintenance Date
This helps the team maintain a record of equipment maintenance activities.
Several manufacturing activities require approval.
We configured workflows for processes such as:
The approval flow can automatically notify the appropriate person when an action is required.
We designed dashboards to provide management with a quick view of manufacturing operations.
The dashboard can display information such as:
Instead of manually preparing these summaries, management can access the information directly from the application.
Different users interact with different parts of the manufacturing application.
We designed access based on user responsibilities.
Production planning, work orders and production updates.
Stock receipts, issues, adjustments and inventory information.
Suppliers, purchase requests and purchase orders.
Inspections, defects and quality records.
Dashboards, reports and operational visibility.
This keeps the application relevant to each user while controlling access to business information.
Some manufacturing activities take place away from a desktop.
The application was designed to support mobile-based activities where required, allowing users to update operational information directly from the floor or field.
For example, a user can:
Open Work Order → Update Quantity → Add Remarks → Submit
Similarly, quality or maintenance users can update their respective activities without waiting to return to a desktop.
One of the key parts of the solution was reducing repetitive manual communication.
For example:
Production creates material requirement
↓
System checks availability
↓
If material is required → Purchase Request
↓
Approval
↓
Procurement Action
↓
Material Received
↓
Inventory Updated
This creates a connected workflow instead of relying on separate emails and spreadsheets.
Used as the primary platform for application development, data management, forms, workflows, reports and dashboards.
Used for implementing application logic, calculations, validations and workflow automation.
Used where integration with other business applications is required.
Used to provide operational and management-level visibility.
We followed a structured development approach.
We understood the existing manufacturing processes and identified the major operational challenges.
Production, inventory, purchase and quality workflows were mapped.
The relationships between products, materials, production, inventory and other modules were defined.
Forms, screens, navigation and user roles were planned.
Modules, workflows, reports and dashboards were developed in Zoho Creator.
Approvals, notifications, validations and business rules were configured.
The application was tested against real business scenarios.
Users reviewed the application and provided feedback.
The application was prepared for production use.
Further improvements can be added as the manufacturing process evolves.
| Module | Key Functionality |
|---|---|
| Product Management | Product master and details |
| Bill of Materials | Material requirements |
| Production Planning | Production scheduling and tracking |
| Work Orders | Production task management |
| Material Management | Material requirements and consumption |

The solution helped create a more structured way of managing manufacturing operations.
The major improvements focused on:
Production, inventory, purchase and quality information can be managed within one platform.
Operational information can be captured directly through application forms and workflows.
Teams can track the current status of production and related activities.
Production, inventory, procurement and quality processes are connected instead of operating independently.
Users can access relevant records and reports without searching through multiple files.
Dashboards provide a consolidated view of operational activities.
| Before | After |
|---|---|
| Multiple Excel files | Centralized application |
| Manual production tracking | Digital production workflow |
| Separate material records | Connected material management |
| Email-based requests | Automated approval workflows |
| Manual inventory updates | Transaction-based stock tracking |
| Separate quality records | Quality linked with production |
| Manual reports | Live dashboards and reports |
| Scattered information | Centralized operational data |
For this project, Zoho Creator provided the flexibility needed to build the application around the organization's actual workflows.
Instead of changing the business process to fit a fixed system, we were able to design:
Forms + Workflows + Data + Reports + Dashboards
around the existing manufacturing operations.
The application can be further extended based on business requirements.
Potential enhancements include:
At Trasol Technologies, we build custom business applications using Zoho Creator based on real business processes.
Our approach is not limited to application development. We work across the complete implementation lifecycle:
Requirement Analysis → Solution Design → Development → Automation → Integration → Testing → Deployment → Support
Our Zoho Creator services include:
We provide solutions for businesses across India, UAE, USA and UK.
This manufacturing application was designed to solve a practical business problem: bringing disconnected manufacturing processes into one structured system.
By connecting production, materials, inventory, purchase, quality and reporting in Zoho Creator, the business gets a clearer view of its day-to-day operations while reducing dependency on manual processes.
The solution can also be expanded over time as new manufacturing requirements arise.
